10 Tips for Your Datacenter Move:
- Label everything before the move.
- Order spare parts that might be needed during the move to supplement any misplaced items.
- Determine early on what equipment should be disposed of instead of moved. Find out more about DataSpan’s Asset Recycling Services.
- Conduct a "dry-run" at the original and destination sites with all your team members.
- Consider a bad weather contingency plan for the move.
- Consider having rental equipment up and running at the destination site for key equipment to allow for delays in re-assembly.
- Have a back-up plan for your back-up plan.
- Test your back-up and restore systems well before the move.
- Make sure everyone has the cell phone and back-up phone numbers of all members of the relocation team.
- Use qualified and experienced help for every step in your move.
Relocation of Tape Libraries and Racking Systems
DataSpan has extensive experience in the relocation of tape libraries and racking systems. After reviewing your project goals, the timelines, and selected sites for the moves, DataSpan will work closely with your staff during the entire project to ensure a successful implementation.
Some of our many steps for tape library relocation include:
- Conduct site surveys of both the original and destination locations.
- Establish tape ranges for quality control and reconciliation against the TMS (Tape Management System) throughout the move inventory process.
- Scan and track all tapes to be relocated at all times for accurate audit results (audits are done at both the origin and destination sites).
- Establish a quality control plan to guarantee all tapes are accounted for.
- Download and organize scanned data into files for record keeping and ensure any exception tapes are addressed immediately.
- Provide summary reports for management on a regular basis, including comparisons between the Tape Management System and the Physical Inventory, and tape counts on the total number of volser numbers in the database.
- Pull and pack of move-specified tapes is guaranteed.
- Inventory all tapes with box and pallet locations assigned to every tape.
- During the move, ANY specific tape can be located in minutes, if needed.
- Secure coordination of all required transportation companies.
- Freight tracking capabilities are available throughout the move.

Pre- and Post-Move Asset and Tape Inventory Audits
Whether DataSpan is undertaking the entire Datacenter or tape library consolidation or relocation for a company, we can provide pre and post-move asset and tape inventory audits.
This includes an inventory of all assets before and after the move — whether by physical inventory, or by scanning. Management reports are generated before and after the move to detect any discrepancies for review. Tape audit management software can allow database access files for each customer. And all files can be provided by FTP access. User name and password protection allow secure file access for any authorized end user.
